The Challenge
COVID-19 disrupted the live events industry. Having successfully pivoted to a virtual event for their 2020 and 2021 annual conference, NAFSA now faced a new challenge: the hybrid format.
As NAFSA prepared for their 2022 Annual Conference & Expo, here were a few of their top priorities:
- A flexible system enabling them to pick and choose the right tech for their event
- Delivering exceptional exhibitor experiences with full ROI
- A software provider that listens to their feedback and serves as a partner in their success
- Sustainability, accessibility, and more
The Results
NAFSA's first in-person conference in over 2 years was a resounding success. Following a virtual, on-demand experience a few weeks prior, they welcomed thousands of attendees to the Colorado Convention Center in Denver from May 31st to June 3rd, 2022. Exhibitors at the conference enjoyed a vibrant expo hall. The Exhibitor Harvester streamlined communication between the NAFSA team and their exhibitors. Using the Exhibitor Harvester, the exhibitors were able to create and update their online exhibitor profile before and during the conference.
NAFSA jam-packed the schedule with hundreds of presentations and—of course—speakers. That's no easy feat. But with the aid of Cadmium's Scorecard, the team managed to collect, review, and select more than 350 abstract submissions in no time. Once selections were made, the Education Harvester made the collection of presentations and presenter data a breeze.
Additionally, NAFSA was able to meet their sustainability and accessibility needs with the aid of Cadmium technology. The eventScribe mobile app eliminated the need for a paper program, reducing unnecessary waste while also serving as a valuable tool for attendees. Additionally, the app allowed for attendees to scan QR codes in the poster gallery, then view and listen to poster presentations on the go.
Feedback from attendees is key to the success of future events. Using the Survey Magnet, NAFSA received more than 500 session evaluations. This information will help them ensure even stronger events in the years to come.
